How Much Can I Get Done in a Day?

More on Multitasking

Since my previous revelation on multitasking, I've made what I could consider decent progress. I've scaled back how much I do in a day, and I've started focusing on one project at a time (especially projects with multiple components). I am working on trying to stop switching between tasks. Because I work at a nonprofit organization, I wear many hats. I've divided up my days to focus on specific tasks on certain days only. If something surfaces relative to a specific project on a day I normally wouldn't work on that project, then I move the interruption. If I can't move the interruption to another day, then I work on it immediately and get it out of the way.

Let me give you a specific example: One of my roles involves managing the organization's Communications department. I've decided to place all tasks relative to communications on Saturdays, Mondays and Wednesdays. Basically I try to do all of my communications tasks on these days. If something comes up relative to communications on a Tuesday, I immediately determine if I have to do it now or move it to Wednesday. If I have to work on something that comes up right away, it becomes a priority item, I place my other duties on hold and I get the priority item complete. (Which may not be good, because then I might fall behind on my regular tasks.)

This new method seems to work for me. It does require a conscious effort, though. Some days are more challenging than others, and I have to remember that my ultimate goal is to maintain my productivity and get things done effectively.
